Check before filing

Check readability, page count and supporting documents. An incomplete document remains difficult to use, however well it is filed.

Separate drafts and references

Keep drafts separate from approved versions. Maintain one clearly named reference file to avoid editing outdated documents.

Prepare for scanning

Remove fasteners, order the pages and check their orientation. Open the scanned file and review its pages before continuing.

Organise access

Share files only with the people involved, within your chosen environment. Retention rules should reflect document types and applicable obligations.
